Privacy Policy

The short version: we collect what the products need to work, we don't sell it, and you can ask us to delete it. Privacy requests: info@qsoftware.ca.
1. What we collect
- Account data — your name, business name, email, and the business details you configure (hours, services, prices, brand notes).
- Caller data (Catch) — phone numbers of people who call your business, and the content of SMS conversations Catch has with them.
- Booking data (Catch) — appointment details written to your connected calendar.
- Connected platform data (Reputable) — reviews, ratings, and social content from the accounts you connect (e.g. Google, Yelp, Facebook, Instagram, TikTok), used to draft replies and insights for you.
2. How we use it
To provide the service: replying to your callers, booking appointments, drafting review replies and campaigns, and showing you reputation insights. We also use aggregate, de-identified usage data to improve the products. We do not sell personal information.
3. Who processes data on our behalf
We use a small set of subprocessors to run the service:
- Twilio — telephony and SMS delivery
- Supabase — database and authentication
- Anthropic — AI-generated responses
- Stripe — payments and billing
- Google — calendar integration
- Vercel — hosting
Each receives only the data it needs to perform its function.
4. Retention and deletion
Conversation and booking data is retained while your account is active so you have a record of what was said and booked. When you close your account — or on request at any time — we delete your data, except where a short retention period is required for billing or legal records.
One deliberate exception:when a caller texts STOP to opt out, their number is kept on a suppression list whose only purpose is to make sure they are never contacted again. That retention is required for the opt-out to work; it isn't optional data keeping.
5. Your callers' rights
Catch identifies itself as an automated assistant, and every caller can opt out of messages by replying STOP at any time. If one of your customers asks you about their data, forward the request to us and we'll handle it.
6. Where this applies (PIPEDA)
Q Software is based in Toronto, Canada, and handles personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA). Some subprocessors listed above store data in the United States; we choose providers with strong contractual and security commitments.
